# Why can't a team member accept an invitation?

> An invited colleague cannot join: the trial account on the same address, being signed in already, expired links, and the order that makes it work first time.

**Almost always because that email address already belongs to a separate Reply account, usually a trial the person started themselves. One address belongs to one account, so the invitation has nowhere to land. Have the invitee sign out completely before opening the link, and do not let them sign up first.**

## Quick fix

1. Ask the invitee whether they ever signed up for Reply themselves with that address, even a trial they abandoned. If they did, that is the cause.
2. Have them **sign out of Reply completely** (and close the tab) before opening the invitation link.
3. Ask them to open the link in a private window, so no existing session is reused.
4. If the invitation is more than a few days old, send a fresh one.
5. Confirm they land in the right workspace, not a personal account.

## Symptom

The invitation email arrives, but clicking the link does not add the person to your team. They may be sent to their own empty account, be asked to start a trial, see an error about the address being in use, or end up somewhere that contains none of your sequences.

## Most likely causes

| The invitee already has their own Reply account on that address | By far the most common. They signed up for a trial at some point – often minutes earlier, to "have a look first" |
| They were signed in to another Reply account when they clicked | They land in an account that is theirs but empty |

| There is no seat available | The invitation cannot be completed because the plan's seats are all taken |

## Diagnostic checklist

1. **Ask directly whether they ever created their own account** with that address. People forget a trial they opened once and abandoned; it is still an account.
2. **Check whether they were signed in** when they clicked. An existing session is reused silently.
3. **Check the invitation's age.** If in doubt, send a new one; it costs nothing.
4. **Check seats** before blaming the link. An invitation with no seat behind it cannot complete.
5. **Confirm where they actually ended up.** "It did not work" often means they joined and are looking at an empty workspace.

## Resolution

### They already have their own account on that address

The address has to be freed before the invitation can be accepted. The Reply support team can remove the unused account: open the Help Center and tell them the address and which organization is inviting it. Once it is freed, send a new invitation and have the person accept it while signed out.

If they have work in that personal account that matters, say so: it does not move across with them, and it is better to decide that before the account is removed.

### They were signed in to something else

Sign out fully, close the tab, and open the invitation link in a private window. This alone resolves a large share of cases and costs nothing to try first.

### The invitation expired

Send a new one. Do not resend the old email; the link in it stays expired.

### No seat is available

Free a seat by removing a member you no longer need in team management, or add one in billing. Then re-send the invitation.

## Verification

The invitee signs in and sees your sequences, not an empty account. Check your members list shows them as active rather than pending.

## Prevention

- **Invite first, and tell people not to sign up.** Almost every case in this page starts with someone creating a trial before their invitation arrived.
- Include one line in the invitation message: *sign out of any existing Reply session before clicking the link.*
- Check you have a free seat before inviting.
- Send invitations to addresses people actually use; a forwarded invitation clicked from a different account creates exactly this problem.

## FAQ

### Can one email address belong to two Reply accounts?

No. One address belongs to one account, which is why a personal trial blocks an organization invitation.

### Does their trial data move into our team account?

No. Work in a personal trial account does not transfer. Decide whether anything there matters before the account is removed.

### The invitation says accepted but they see nothing
